Job Summary: The Office Administrator is the link between staff, church members, and the community as well as performing various administrative tasks. This position supports the office functions for the church, coordinates the church calendar, maintains membership data, and provides administrative support to pastors and worship. A strong faith background is required to portray Christ's love for the Kingdom of God.
Job Duties
Recruits and supervises volunteers to assist with tasks such as answering the phone, retrieving the mail, (local and PO box) and other related tasks. All checks/cash to be in the safe.
Assist the clergy with administrative tasks.
Assist members, prospective members, and guests accessing church resources. First contact for community and church members seeking assistance. Referral source to community agencies and/or pastoral staff as appropriate.
Provides visitor passes for contractors and other visitors as needed.
Maintain the church calendar. Reserve space for all church related activities.
Coordinate preparation and production of worship guides for all regularly scheduled and special worship services. (Sunday worship, funerals, and special events)
Financial responsibilities include check co-signer as needed and support to financial director in reconciling office expenses.
Communicate needs of congregation to clergy and Care Team as needed; maintain and publish via email the prayer list.
Maintain good working order of all office equipment and order office supplies for church staff. Including but not limited to office coffee maker, staff name tags, door plates, member name tags, flower orders, copier, postage machine, and food for staff events.
Assist congregation with various needs as required. Maintain confidentiality as it relates to all church information.
Maintains ministry safe background checks for staff and volunteers.
Attend staff meetings. Maintains regularly scheduled office hours during the week.
Be a team player by maintaining positive office environment.
Other duties, as needed.
Qualifications and Characteristics
Stonebridge is prayerfully searching for someone with the following qualifications.
Required: Experience using Microsoft Office suite (Outlook, Word, Excel) and Canva.
Preferred: Bachelor’s degree; experience in church or non-profit office operations; familiarity with the Realm Software System (or other church management software); experience coordinating office functions in the United Methodist Church.
